Archiving and Digital Preservation Policy

Archiving and Digital Preservation Policy

Jurnal Matematika UNAND (JMUA) is committed to ensuring the long-term preservation, accessibility, and integrity of its published scholarly content. In accordance with the principles of transparency and best practices in scholarly publishing, JMUA recognizes the importance of maintaining a reliable and enduring scholarly record for researchers, educators, students, and the wider academic community.

This policy outlines the journal's digital preservation arrangements, archiving coverage, continuity measures, and commitment to maintaining access to published research, including circumstances in which the journal's website becomes unavailable or the journal ceases publication.

1. Digital Preservation and Archiving

JMUA recognizes digital preservation as an essential component of responsible scholarly publishing. Digital preservation aims to protect published research against data loss, technological changes, system failures, and potential discontinuation of journal operations.

The objectives of JMUA's digital preservation policy are:

  • To support the long-term preservation and accessibility of published scholarly articles.
  • To protect the integrity, authenticity, and continuity of the scholarly record.
  • To reduce the risk of permanent content loss resulting from technical failures, organizational changes, or discontinuation of the journal.
  • To maintain the discoverability of published articles through appropriate bibliographic metadata and persistent identifiers.
  • To support access to preserved scholarly content for future generations of researchers and readers.

2. Digital Preservation Services

JMUA supports long-term digital preservation through recognized scholarly archiving services.

2.1 Portico Digital Preservation

JMUA is listed in the Portico digital preservation archive under Universitas Andalas. Portico is an internationally recognized digital preservation service designed to safeguard scholarly publications and support their long-term availability.

The official Portico publisher listing identifies Jurnal Matematika UNAND with the preservation status of "preserved".

Portico provides long-term preservation infrastructure and supports access to preserved content under applicable preservation agreements and access conditions.

The journal's inclusion in Portico confirms its presence in the preservation service. However, the preservation status of individual articles, volumes, and issues depends on the content deposited and processed by the service.

2.2 Journal Website and Institutional Archiving

JMUA maintains its published content through its official journal website, which operates using Open Journal Systems (OJS).

The journal's website provides public access to published issues, article information, bibliographic metadata, and available article files.

The journal works with its publisher and relevant institutional technical support units to maintain the availability and integrity of its digital publishing platform.

Operational backups and disaster recovery procedures complement external digital preservation arrangements. Such operational measures are distinct from independent long-term scholarly preservation services.

3. Archiving Coverage

JMUA's digital preservation policy is intended to support the long-term availability of the journal's published scholarly content, including:

  • Published research articles and other scholarly contributions.
  • Available full-text article files, primarily in PDF format.
  • Bibliographic metadata, including article titles, authors, publication dates, volume and issue information, and Digital Object Identifiers (DOIs), where assigned.
  • Related scholarly publication information, where supported by the relevant archiving arrangements.

The actual coverage of third-party preservation services depends on the materials deposited, accepted, and successfully preserved by those services.

JMUA does not assume that every published article, issue, or supplementary file has been preserved by an external archiving service solely on the basis of the journal's inclusion in that service.

The Editorial Office will seek to verify preservation coverage and address identified gaps in coordination with the publisher and relevant preservation service providers.

4. Persistent Identifiers and Metadata Accessibility

JMUA supports the long-term discoverability of its scholarly publications through the use of Digital Object Identifiers (DOIs) and structured bibliographic metadata.

DOIs provide persistent identifiers for scholarly articles and help maintain reliable links to published content when website addresses or publishing systems change.

JMUA is committed to maintaining accurate publication metadata and updating relevant DOI registration records when corrections or changes are necessary.

The journal also supports the discovery and dissemination of article metadata through appropriate indexing, abstracting, and metadata harvesting mechanisms supported by its publishing platform.

Persistent identifiers and metadata services complement digital preservation but do not independently constitute full-text content preservation.

5. Author Self-Archiving

JMUA supports the dissemination and preservation of scholarly research through appropriate author self-archiving practices in accordance with the journal's applicable copyright and licensing policies.

Authors may share and archive their published articles through institutional repositories, subject repositories, personal academic websites, or other appropriate scholarly platforms, subject to the applicable Creative Commons license and relevant publication agreements.

When depositing or sharing published articles, authors should:

  • Provide proper attribution to the original authors and the journal.
  • Include the complete bibliographic citation of the published article.
  • Provide a link to the original publication through its DOI, where available.
  • Clearly indicate the applicable copyright and licensing information.
  • Comply with the terms of the journal's Licensing and Copyright Policy.

JMUA publishes articles under the Creative Commons Attribution-ShareAlike 4.0 International (CC BY-SA 4.0) license, as stated in its published licensing policy.

6. Continuity of Access and Journal Discontinuation

JMUA recognizes the importance of preserving scholarly publications even if the journal experiences operational interruptions or permanently ceases publication.

In the event of prolonged website unavailability, technical disruption, or discontinuation of journal operations, JMUA and its publisher will seek to implement appropriate measures to maintain the scholarly record.

These measures may include:

  • Coordinating with institutional technical support units to restore access to the journal's website and published content where feasible.
  • Maintaining or transferring available publication files and associated metadata to an appropriate institutional publishing platform or repository.
  • Coordinating with Portico regarding the availability of preserved content in accordance with its preservation agreements and access conditions.
  • Maintaining accurate DOI metadata and updating article landing-page URLs when the official hosting location changes.
  • Providing relevant information to authors, readers, and the academic community regarding alternative access arrangements where possible.

Access to archived content through Portico is subject to the service's applicable access policies, preservation coverage, and release conditions. The existence of a preservation record does not necessarily mean that all archived content is immediately available for unrestricted public access through Portico.

If JMUA permanently ceases publication, the publisher will seek to ensure that previously published scholarly content remains preserved and accessible through appropriate institutional or external preservation arrangements.

7. Preservation Monitoring and Policy Review

JMUA is committed to periodically reviewing its digital preservation arrangements to ensure their continued effectiveness and relevance.

Reviews may include:

  • Verifying the journal's status in designated preservation services.
  • Assessing available information regarding the coverage of preserved articles, volumes, and issues.
  • Reviewing the availability and accessibility of published content on the official journal website.
  • Identifying potential preservation gaps and appropriate corrective measures.
  • Evaluating relevant changes in archiving technologies, institutional infrastructure, and scholarly publishing standards.

The Editorial Office will coordinate with the publisher and relevant technical support units when updates to preservation arrangements or operational procedures are necessary.

This policy may be revised periodically to reflect changes in preservation services, technological developments, and recognized best practices in scholarly publishing.

8. Responsibilities

The long-term preservation of JMUA's scholarly content is a shared responsibility involving the journal's editorial management, publisher, and relevant technical support personnel.

  • Editorial Office: Maintains accurate publication information, coordinates preservation-related inquiries, and identifies content requiring attention.
  • Publisher: Supports institutional continuity and coordinates appropriate arrangements for maintaining the scholarly record if journal operations change or cease.
  • Technical Support: Supports the operation, maintenance, and recovery of the journal's publishing platform in accordance with institutional procedures.
  • Preservation Service Providers: Preserve deposited content and administer access in accordance with their respective agreements and policies.
